Cuba Embassy Certification

Are you planning to get married in Cuba?

Do you need to certify and legalize your birth certificate, single status affidavit, and a divorce decree?

Certifying and legalizing documents for Cuba is a three step process.  Your documents will require State certification, US Department of State certification, and Embassy legalization.  For example, if your birth certificate originates from the State of Florida, your document will require Florida Secretary of State certification, Washington DC US Department of State certification, and Cuba Embassy legalization.

A certified copy of your birth certificate can be issued by the County Clerk or State Registrar.  A certified copy of the divorce decree can be obtained through the Superior Court (Family Court).

Here is an illustration to help explain the process:

The Cuban Embassy requests that all documents include a certified Spanish translation to accompany your documents.  The translation needs to be performed by a certified translator and the translator’s signature needs to be signed and notarized.  You can find a certified translator by contacting the American Translator’s Association.

Currently, the Cuban Embassy charges $300 for every document legalized through the Embassy.  If you need your birth certificate and single status certified and legalized, the Embassy will charge $600 to process these two documents.  Also, you will need to include a USPS money order payable to the ‘Embassy of the Republic of Cuba’.  Please contact us for the most up to date cost in processing your documents.  The Embassy may change their prices at any time.

Special Power of Attorney Apostille – SPA

Do you need an apostille on a Special Power of Attorney (SPA)?

In order to apostille your special power of attorney, you will first need to meet with a local notary who will notarize your signature on the document.

Once notarized, the next step is to mail in the original notarized document with our order forms to our office for processing.  A power of attorney can only be authenticated from the State the document was notarized in. The notary must be commissioned and use proper notarial wording.

The Secretary of State does not have the authority to authenticate documents notarized in other States. For example, if your power of attorney was signed and notarized in the State of California, then your notarized document can only receive a California apostille.  Another example is if your power of attorney was signed and notarized in the State of New York, then your notarized document can only receive a New York apostille.

Some States require a notarized document to also be authenticated by the County Clerk before the state will attach the apostille (two steps).  These States are: Hawaii, Kentucky, Maryland, New York, and Tennessee.

We recommend that your power of attorney be prepared by a professional from the Country requesting it. For example, if the Country of the Philippines is requesting a signed and notarized special power of attorney, we recommend that an attorney or paralegal in the Philippines prepare your document.  Some US States will not apostille a document written in a foreign language.  In order to avoid this, we recommend your documents to be written in English.

If you are located outside of the USA and need to have your signed power of attorney authenticated for a country other than the USA, you can contact the local U.S. Embassy or U.S. Consulate office and meet with a U.S. Federal notary.  Once notarized, you can then mail in this document to our Washington DC apostille office for processing.

Permission to Travel Apostille

Do you need an apostille on a Permission to Travel Letter?

At International Apostille, we take the guesswork out of obtaining an apostille on a permission to travel letter (AKA: Travel Consent Letter).  We can apostille consent letters notarized in all 50 States and the District of Columbia (Washington DC).

The purpose of signing a permission to travel letter is to allow your minor child to travel outside of the Country with another person (Example: Father, Mother, Grandparents, Aunt, Uncle, etc..).  You can obtain a travel consent letter from the airline, travel agency, or you can find a sample online.

Basically, the letter will state that you are giving permission to one or more people to take your child outside of the country.  The letter should include travel dates, your name, the name of the child, the person the child will travel with, the country the child will travel too, passport numbers, and the return date.  You will want to put as much information as possible include airline information.

The permission to travel letter will need to be signed and notarized by the person(s) giving permission. If both parents or legal custodians are giving permission to a minor child to travel outside of the USA, then all signatures must be signed and notarized.   Once the document has been notarized, it can then be mailed in to our office for processing.  You will need to download our apostille order forms and mail in your original notarized document to our office for processing.  We recommend that you find a notary who has at least five years of experience and one who will follow the notarial laws of their state.  Improperly notarized travel consent letters will be rejected by the State causing delays and additional costs.

US Embassy Single Status

A U.S. Embassy will typically refer to this document as:

  • Affidavit of Civil Status
  • Eligibility to Marry
  • Single Status

Please note that you will need to make an appointment to meet with an official from the U.S. Embassy.  A U.S. Federal notary public will need to be present to take your oath and notarize your signature on the document.

Once notarized, the next step is to mail in the original notarized copy with our Washington DC order forms to our Washington DC apostille office.  Once we receive your documents at our office, the processing time is four business days.

If the U.S. Embassy is unable to assist you, you can contact the County Clerk in the County of your last residence.  County Clerk offices typically refer to this document as:

  • No Record of Marriage
  • Certificate of Freedom to Marry
  • Certificate of No Impediment for Marriage
  • Certificate of No Record – Marriage
  • Affidavit of Single Status
  • Affidavit of Marriageability
  • Certificate of No Public Record
