Birth Certificate Apostille

Do you need to apostille your birth certificate?

In order to obtain an apostille on a birth certificate, you will need to mail in the original or a County Clerk issued certified copy (Basically as good as the original) or a certified copy issued by the State Registrar.  You can contact the County Clerk’s office (County of Birth) for instructions on how to obtain a new certified copy.  You can also try to order a new copy online through Vital Check.

There are many reasons why a foreign country will request an apostille on your birth certificate.  The most common reasons are:

  • Dual Citizenship
  • Marriage
  • Distribution of Assets/Inheritance
  • Long Term Visa
  • New Job
  • Continue Education

Most states will accept original birth certificates.  The only exception is the states of Virginia and Wisconsin.  Birth certificates issued from these two states should be issued within the past 12 months.

Rule of Thumb: Disregard what you read on other websites regarding how old a birth certificate can be.  We recommend that you mail in what you currently have now so we can present it to the state office.  If the state does not accept your document, we will contact you with detailed instructions.

How to apostille a birth certificate?

Gulf Cooperation Council (GCC) Apostille

Do you need to apostille your documents for a country who is a member of the Gulf Cooperation Council (GCC)?  Have you been told to certify and legalize your documents through one of the GCC countries in Washington, D.C.?

The Gulf Cooperation Council (GCC) is a political and economic union consisting of all Arab states of the Persian Gulf, except for Iraq. Its member states include Bahrain, Kuwait, Oman, Qatar, Saudi Arabia, and the United Arab Emirates UAE.  Iraq is currently not a member.  The unified economic agreement between the countries of the Gulf Cooperation Council was signed on November 11, 1981. These countries are often referred to as “the GCC states” or “Gulf countries“.

Please note that Oman and Bahrain are members of the Hague Apostille Convention but we can still legalize documents for these two countries through their respective Embassies in Washington, D.C.

Single Status for Vietnam

Are you planning to get married in Vietnam?  Do you need a document that states you are currently not married (Single Status Affidavit)?

Vietnam is not a member of the Hague Apostille Convention (Convention of 5 October 1961 Abolishing the Requirement of Legalization for Foreign Public Documents).  Documents being sent to this country require State, U.S. Department of State, and Vietnam Embassy legalization.  This three step process is necessary in order for the country of Vietnam to accept your documents.

No Record of Marriage
Certificate of Freedom to Marry
Certificate of No Impediment for Marriage

Here is an example of a single status affidavit:

The first step is to contact the local County Clerk’s office to request a document that states you are currently not married (AKA: Single Status).  Some County Clerk offices may refer to this document as a “no record of marriage” instead of a “single status”.  Most all County Clerk offices can provide you this document so please be sure to speak to a supervisor if you are told otherwise.  A document issued from the County Clerk’s office does not require notarization.

If the County Clerk is unable to assist you and you are in the United States, you can use the sample above to write your own single status affidavit.  Basically, you are writing a sworn statement stating that you are currently not married to another person in the United States.  Be sure to have this document signed and notarized before you mail it in to our office with our order forms. You should also check with the people requesting your single status if they will accept a sworn affidavit directly from you.

If you are outside of the United States, the local US Embassy or US Consulate office should be able to assist you in completing a single status and also having it signed and notarized.  Because you will be visiting  U.S. Federal Government office, this document can then only be certified through our Washington DC apostille office.

Degree Apostille

Do you need to apostille your Degree?

Are you planning to continue your education or work in a foreign country?  Have you been told to obtain an apostille on your degree?

We can apostille degrees issued from all Colleges and Universities in the U.S. and for over 117 Countries who are members of the Hague Apostille Convention.

Before we can apostille your degree, you will need to contact the Registrar and request for the degree to be signed and notarized.  The Registrar will need to meet with a notary public or you can schedule a traveling notary to meet with the Registrar.  The Registrar can either sign and notarize the back of the degree or attach a College/University letterhead attesting to the attached degree.

We recommend that you check with your contact in the foreign country if the original degree or a color copy needs to be signed and notarized.  Some countries will request the original degree while others are okay with the color copy.   Also, we recommend that you check with the College or University regarding their procedure in notarizing a degree.  Some Colleges and Universities will request that you order a new degree while another will ask you to mail in the original or mail a color copy.

It’s important that you find out the requirements of the foreign country and the College/University before you begin the process.  For example, the Country of Qatar will request that your original degree to be signed and notarized while Spain, Italy, and South Korea are typically okay with the color copy.
