Do you need to apostille a Passport?

We can apostille a signed and notarized color copy of your Passport in all 50 States and the District of Columbia (Washington DC).

For most countries, they will only request the color copy of the page with your picture and information to be signed and notarized. Some countries may request for you to color copy the entire passport and only have the page with your picture and information to be signed and notarized. Be sure to double check with the requesting country in order to avoid any delays or additional costs.

Note: Please do not mail in the original passport.

In order to apostille your Passport, you must mail in the original notarized color copy to our office for processing. If you are outside of the USA, we recommend that you contact the local U.S. Embassy or U.S. Consulate office to schedule a time to meet with a U.S. Federal notary to notarize the color copy. Once notarized, you can then mail in the notarized color copy to our Washington DC office for processing.

If you are in the United States we recommend that you find a notary public who has at least five years of experience and one who will follow the notarial laws of their State. Please sign your document in front of the notary public. The notary will then stamp, sign, and add the proper notarial wording.

Some States require a notarized document to also be authenticated by the County Clerk. These States include: Hawaii, Kentucky, Maryland, New York, and Tennessee. We can handle all the steps necessary including authenticating your document through the County (if required) and the state apostille.

Obtaining an apostille can be complicated and time-consuming. Proof of Residency Apostille

Do you need to apostille your Proof of Residency?

Are you attempted to obtain a long term Visa or dual citizenship in a country who is a member of the Hague Apostille Convention?

Have you been asked to apostille your Utility Bill (Water & Power), Gas Bill, Home Phone/Wireless Bill, Driver’s License, Passport, and/or signed Affidavits to prove that you reside in the United States? The countries that typically request these documents are: India, South Korea, China, Austria, Greece, and Switzerland. Please note that there are over 117 countries who are members of the Hague Apostille Convention.

In order to apostille your documents, they must be signed and notarized. If you are unsure of what type of documents you need to apostille, please ask the people/country requesting your documents. Please note that certain documents need to be apostilled in the state the document originates from. For example, a Texas driver’s license must be signed and notarized in Texas. Also, Vital Record documents (birth, marriage, death, etc…) can only be apostilled in the state of issue. Vital records documents are not notarized.

Online Digital Notary and Apostille

Does your online digital notarized documents also need to be apostilled?

During the past year, we have noticed a proliferation of online digital notary publics within the US who will notarize signatures on documents virtually. What this means is that you can physically be in Costa Rica and have a notary public in the state of Virginia notarize your signature and obtain the Virginia state apostille.

Please note that International Apostille, DOES NOT process digitally notarized documents. All notarized documents that arrive at our apostille office must be original and include the following:

The original signature of the signer(s)
The original signature of the notary public
The original stamp of the notary and/or raised seal
Proper notarial wording for the state

Note: The signer of the document must physically appear before a notary public. For example, if you are physically in the state of Virginia, you must physically meet with the notary public in Virginia.

We have seen over the past year online digital notary publics notarize vital record documents (birth, death, marriage, etc…) and process them from the state they do not originate from. Please note that this type of behavior is fraud and only seeks to cheat and misinform the customer into believe all documents can be processed through one Secretary of State’s office. Furthermore, we have also seen employees at the Secretary of State’s office be complicit in this illegal behavior.

All vital record documents including documents issued by the County Clerk, Court, State, and US Federal Government must be certified with an apostille in which the signature of the official who is attesting to the document is authenticated with an apostille. For example, an FBI background check can only be processed through the US Department of State and receive the US Department of State apostille. A California birth certificate can only be processed through the California Secretary of State’s office and only receive a California apostille.

New York Birth Certificate Apostille for Israel

Do you need to apostille your New York birth certificate for Israel?

The most common documents we can apostille from our NYC apostille office are: Birth certificates, marriage certificates, divorce decrees, death certificates, notarized documents, national archives records, diploma and transcripts, background checks, and more!

New York is the only state that requires County Clerk issued documents to also be certified by the County Clerk (Exemplification) before the NY Department of State will attach the apostille. 95% of all documents received at our NYC office will require this two-step process.

There are 62 Counties in NYC. Most of the documents received at our NYC apostille office originate from the following Counties: New York County Apostille – Kings County Apostille – Queens County Apostille – Bronx County Apostille – Richmond County Apostille

A County Clerk exemplification/certificate is attached to the original document certifying the official who has signed the document. Here is an example of a New York County Clerk Exemplification (Size: Half a page).

Tax Return Apostille

Do you need to apostille your Tax Return?

We can apostille certified tax return documents issued directly from the IRS or notarized copies. Notarized copies are processed through the Secretary of State’s office while certified document issued from the IRS are processed through the US Department of State in Washington DC.

Unless you obtain a certified copy of your tax return directly from the IRS with an official signature that is verifiable at the US Department of State, the best and fastest option is to notarize a copy.

You can meet with a local notary public and have your signature signed and notarized or you can ask your accountant to have his/her signature signed and notarized. Please double check with the country requesting the apostille if they are okay with you or your accountant attesting to the authenticity of the transcripts. If not, you will need to contact the IRS and request a certified and signed transcripts.

There’s an option to request certification of a copy of your tax return, using Form 4506. You ask for the certification by checking the checkbox on line 6.
